Terms of Service

1. Service description

UltraPlanner is a web-based race planning tool designed for ultrarunners and endurance athletes. The service allows you to plan race timelines, nutrition, hydration, gear, bag setups, packing checklists, shopping lists, costs, and emergency plans — and share them with your crew via password-protected links.

2. Eligibility

You must be at least 16 years old to create an account and use UltraPlanner. By registering, you confirm that you meet this age requirement.

3. Your account

• You are responsible for maintaining the confidentiality of your password and for all activities under your account.
• You must provide accurate information when registering, including a valid email address for verification.
• You must verify your email address before accessing the full features of the platform.
• One account per person. Shared accounts are not permitted.
• You may not use the service for any illegal purpose or in violation of any applicable laws.

4. Free trial & subscriptions

• New accounts receive a 30-day free trial with access limited to 1 race plan.
• After the trial, you may subscribe to a paid plan to continue using UltraPlanner with unlimited race plans and features.
• Subscriptions are billed in advance on a recurring basis (monthly, quarterly, semi-annual, or yearly), depending on the plan you choose.
• Payments are processed securely by Stripe. We do not store your credit card information.
• You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period — you retain access until then.
• All prices are listed in Euros (€) and include applicable taxes.
• We reserve the right to change pricing with at least 30 days notice. Existing subscribers will be notified before any price changes take effect on their account.

5. Refunds

Because UltraPlanner offers a free trial, we generally do not offer refunds for subscription payments. However, if you experience a significant service issue, contact us at support@ultraplanner.app and we will review your case.

6. Your content

• You retain full ownership of all content you create in UltraPlanner (race plans, inventory items, notes, etc.).
• We do not claim any intellectual property rights over your content.
• You grant us a limited license to store, process, and display your content solely for the purpose of providing the service to you.
• You are responsible for the content you create and share. Do not use the service to store or share illegal, harmful, or offensive content.

7. Sharing & crew access

When you share a race plan via a password-protected link, anyone with the password can access the shared content in view or crew mode (depending on your settings). You are responsible for managing access to your share links and passwords. We are not responsible for any unauthorized access to shared content if share credentials are disclosed to unintended parties.

8. Privacy & data protection

Your privacy is important to us. Please review our Cookie & Privacy Policy for details on what data we collect, how we use it, and your rights. Key highlights:

• We collect only the data necessary to provide the service (name, email, billing info, preferences, and the content you create).
• We do not sell, rent, or share your data with third parties for marketing.
• We do not use tracking cookies, analytics services, or advertising networks.
• Passwords are securely hashed with Argon2 — we can never read your plain-text password.
• You can request deletion of your account and all data by contacting support.

9. Email communications

By creating an account, you agree to receive the following transactional emails from us:

• Email verification upon registration.
• Password reset links when requested.
• Important account notifications (e.g., subscription status changes, terms updates).

We do not send marketing emails or newsletters. You cannot unsubscribe from transactional emails as they are necessary for account security and service operation.

10. Acceptable use

You agree not to:

• Attempt to gain unauthorized access to other users' accounts or data.
• Use automated systems (bots, scrapers) to access the service without permission.
• Interfere with or disrupt the service infrastructure.
• Abuse the email system (e.g., using password reset to spam other email addresses).
• Create multiple accounts to circumvent trial or subscription limits.
• Reverse-engineer, decompile, or attempt to extract the source code of the platform.

We reserve the right to suspend or terminate accounts that violate these terms.

11. Service availability

We strive to keep UltraPlanner available at all times, but we do not guarantee 100% uptime. The service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We are not liable for any loss or damage resulting from service interruptions.

12. Disclaimer

UltraPlanner is a planning and organizational tool. It does not provide medical, nutritional, or training advice. The emergency planning features are informational only and should not replace professional medical guidance. You use the service and make race decisions at your own risk. We are not responsible for any injuries, health issues, or other outcomes related to your races or the use of plans created with UltraPlanner.

13. Limitation of liability

To the maximum extent permitted by law, UltraPlanner and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from your use of the service. Our total liability for any claim arising out of or relating to these Terms shall not exceed the amount you paid us in the 12 months preceding the claim.

14. Changes to these terms

We may update these Terms from time to time. If we make significant changes, we will notify you via email or a prominent notice within the app. Your continued use of UltraPlanner after any changes constitutes acceptance of the updated Terms.

15. Governing law

These Terms shall be governed by and construed in accordance with the laws of Romania and the European Union, without regard to conflict of law provisions. Any disputes arising from these Terms shall be resolved in the competent courts of Romania, unless GDPR or other EU regulations provide for alternative jurisdiction.
